ATS Transitioning Plan

If you’ve decided to switch to a new Applicant Tracking System (ATS) and are unsure of the next steps in ModernLoop, this guide provides a sample transition plan to help you navigate the process. Transitioning systems can be complex, so partnering with your Customer Success Manager (CSM) is key to ensuring success.


Introduction

Switching to a new ATS is a significant change, and ModernLoop is here to support you at every step. Your Customer Success Manager will:

  • Coordinate the transition process.

  • Finalize a tailored transition plan for your organization.

  • Help preserve your modules, templates, and workflows.

  • Communicate timelines and guidelines to your team.

IMPORTANT: This article is a sample transition plan. Schedule a meeting with your Customer Success Manager at least 2 weeks prior to your target transition date to create a customized plan specific to your organization and ATS system.

Attempting to transition your ATS in ModernLoop without the assistance of your Customer Success Manager can result in significant customer-facing caveats including loss of data.

Transition Plan

  1. Schedule a Kickoff Meeting

    • Meet with your Customer Success Manager to review the transition plan and sign off on it.

  1. Set Key Dates

    • Select a transition date to complete the ATS switch.

    • Allocate integration time for the switch on the transition day.

  1. Rollout Guidelines for Users

    • Implement a rollout policy instructing ModernLoop users not to schedule interviews beyond the transition date.

    • Inform your team about the upcoming ATS switch and guidelines.

  1. Verification and Completion

    • New ATS data will be verified for accuracy.


Transition Period Guidelines

During the transition period:

  • Avoid Scheduling Interviews in ModernLoop

    • Interviews scheduled on or after the transition date must be scheduled manually.

    • ModernLoop users should refrain from scheduling in the platform because the previous ATS connection will no longer allow edits or updates.

  • Manual Adjustments

    • If necessary, users can delete panels and manually reschedule interviews.

  • Training Sessions

    • Avoid scheduling any training sessions for interviews falling after the transition date.


Transition Day

On the transition day:

  1. Freeze Scheduling

    • Ensure no interviews are scheduled in ModernLoop.

  1. Remove the Current ATS

    • Go to the integrations page, and remove the current ATS. Read the warnings carefully.

  1. Connect the New ATS

    • Once confirmed, the new ATS will be connected to ModernLoop.

  1. Allow Time for Full Sync

    • The initial ATS sync may take up to a full business day to complete. During this time, data such as jobs, users, and interviews may appear gradually. Avoid scheduling or making configuration changes until the sync is fully complete.


What to Expect After the Transition

  • Jobs

    • Jobs imported from the previous ATS will be marked as "closed".

    • Jobs from the new ATS will sync with ModernLoop.

  • Modules and Templates

    • Your modules and templates will remain intact during the transition.

  • Metrics

    • Metrics synced from the previous ATS will be wiped.

    • ModernLoop will begin syncing new data from the connected ATS moving forward.

  • Tasks

    • When your ATS becomes disconnected, ModernLoop will not take any external action when an application is rejected. Instead, all affected tasks will be marked as archived within ModernLoop.

      This means:

      • No cancellation or update will be sent to the ATS.

      • The open tasks will only be archived internally in ModernLoop.
